The agreement is valid for all bookable products unless otherwise specified, and for groups of up to 9 persons. Any questions and concerns related to the purchased product should be addressed to Nordic Travel.  If you have a special request (e.g. bathtub, disability access, etc.) Nordic Travel cannot guarantee that your request will be met, but will forward it to the supplier of the service.

SELLER'S OBLIGATIONS

The seller is obliged to ensure the following:

  • That you receive the necessary travel documents.
  • That you be informed of any significant changes that affect your booking/purchase.
    • Communication is via the email address provided and confirmed upon booking.
  • The supplier(s) are paid according to the services purchased.

Nordic Travel cannot be held responsible for promises made by any hotel or attraction or their representative without our knowledge. If additional agreements are made that are beyond the organizer's agreement, Nordic Travel advises that written and signed confirmation be obtained from the owner or contact person.

CUSTOMER'S OBLIGATIONS

It is your obligation as the customer to ensure that you have valid travel documents.

The customer is obliged to provide a correct email address and telephone number and to carefully read the information sent. From the time of order until returning home, Nordic Travel advises that you monitor the email address specified in the booking as updates such as schedule changes are only provided via email.

If your travel documents are sent by regular mail it is very important that you provide one or more telephone numbers with which we can reach you during the day and evening, as well as a correct home address. Nordic Travel cannot be held responsible if information is incorrectly provided, or if your personal spam filter sorts out our emails.

Before you finalize your booking and pay, you as customer must check that all details such as date, route, destination and each traveler's name, etc. are correct. When booking flights, ensure that all first and last names are correctly entered and identical to how they appear in passports.  None of this information may be changed after payment, as airlines do not allow post-purchase name changes.

BOOKING

The minimum age for booking travel through Nordic Travel's channels is 18.

The purchase/booking becomes binding as soon as it is confirmed verbally or in writing by the seller. These terms apply from that moment, irrespective of whether payment was tendered for all, part, or none of the purchase amount. If the products are booked with a reseller, other booking and payment conditions may apply. Be sure to check the terms with your seller.

Nordic Travel cannot be held responsible for bookings that do not arrive through Nordic Travel due to technical problems.

PAYMENT

The payment on the agreed price shall be made no later than the time stipulated in the terms below. Nordic Travel may not require final payment of the package price before the time specified below.

You may pay over the phone or via the Internet at the time of booking and only by credit card (VISA, MasterCard).

Nordic Travel uses 3D Secure, which ensures that you can securely provide your personal information and credit card information. 3D Secure is a service that identifies the customer a second time for greater security and banks offer a payment guarantee in connection with this.  Contact your bank for more information.

If payment is not made by the specified time, there is a risk of the seller canceling your booking and charging you for any cancellation fees and costs that the seller might have incurred from subcontractors, etc.

If you provide incorrect information you may subsequently be required to pay any costs that arise.

Nordic Travel cannot be held responsible for payments that do not arrive to Nordic Travel due to technical problems.

PRICES

The prices include all known taxes and fees at the time of booking which are included in the products.  In addition to taxes, some countries also charge local airport and/or tourist taxes. These taxes should be paid in cash at the airport or hotel on departure or arrival.  The countries may change the regulations on these taxes in short notice.

In the case that an airport transfer is necessary, costs may arise that are not included in the travel package price.  Overnight accommodations are not included.

Many low cost airlines charge extra for baggage, check-in, seating, etc. The traveler is responsible for covering these costs with the airline.

CONDITIONS FOR PRICE CHANGES

If the cost of delivery increases due to tax hikes, currency devaluations, government actions or other unforeseen circumstances, the organizer is entitled to charge an additional fee corresponding to the increased cost.

If the organizer wishes to retain the right to increase prices for reasons other than stated herein, the organizer must clearly indicate this at the time of booking.

The organizer shall immediately inform the customer when a price increase occurs.

GIFT CARDS

The customer is obliged to ensure that the Gift Card booking confirmation is correct as soon as it has been received. Any errors must be reported immediately. Any pledges made by booking staff that are material to your booking should be noted in the confirmation as a reference.

Gift Card purchases are binding as soon as they are confirmed verbally or in writing by the seller.

Gift Cards cannot be changed, canceled or returned.

Gift Cards can only be used with Nordic Travel via telephone by calling +46 (0) 31 – 388 58 81. If the total amount of the booking exceeds the value of the Gift Card, the balance shall be paid at the time of booking.  If the total amount of the booking is less than the amount on the Gift Card, the remaining balance cannot be returned.

BOOKING OF ACCOMMODATION

Nordic Travel always strives to ensure that the pictures and descriptions of the facilities are up to date. However, Nordic Travel cannot guarantee that this is always the case as this information is received from the suppliers. Pictures and descriptions are intended to give a "feeling" of the accommodation.  Please be aware that the current pictures are not necessarily representative of the actual room or bed configuration of the room booked. Note that there can be extra costs for booking extra items such as extra cots, cribs, etc.

If there is an issue concerning the availability of rooms, the accommodation provider shall provide equivalent accommodation at no extra cost. Nordic Travel cannot be held responsible if the accommodation provider cannot guarantee the availability of rooms.

Please note that if you wish to review, adjust or cancel your reservation, you may follow the instructions given in the booking conditions and your booking confirmation.

For details regarding changes and cancellations read more under "Changes and Cancellations".

Please note that certain discounts and offers cannot be changed or canceled.  No-shows cannot be refunded.  See the booking confirmation that you received at the time of booking for more information about your booking.

The agreement may be transferred to a person who satisfies all the conditions for the trip.

BOOKING AN EVENT

Nordic Travel always strives to ensure that the event organizer's pictures and descriptions are correct and up to date. However, Nordic Travel cannot guarantee that this is always the case as this information is received from the suppliers. Pictures and descriptions are used to give the "feeling" of the event. Please note that extra costs may be charged in conjunction with booking certain products not included in the basic arrangement.

Tickets may only be bought for personal use and may not be used for commercial purposes. This means that the ticket may not be resold at a higher price or offered in competition, or in connection with the offer of another product or service without the prior written consent of the organizer/venue.

The organizer reserves the right to cancel bookings or purchases if incorrect personal information is provided or if attempts to violate or circumvent the conditions of purchase are detected. This includes booking or buying more tickets than allowed, or if the purchased products are sold at a higher price than was stated during the booking. Any service fees or delivery and distribution fees will not be refunded upon cancelation due to the above stated reasons. The organizer may decide that neither the reservation/nor the ticket purchase price paid shall be refunded.

If all or part of your booking cannot be delivered according to the booking confirmation and if no replacement events can be arranged, the customer reserves the right to cancel the booking. A full refund will be given, less administration costs and the value corresponding to any part of the booking that has already been used or available to be used.  For offers to events other than those defined or to make a new booking for an alternative date, please contact Nordic Travel's booking support. When re-booking for another event than the one canceled, there are no administrative fees.

Event tickets cannot be changed or the bookings canceled.  For more details, read under "Changes and Cancellations".

The agreement may be transferred to a person who satisfies all the conditions for the trip.

BOOKING A FLIGHT

All quoted flight times are provisional, as are the times that accompany the booking confirmations. It is the buyer and the passenger's responsibility to be aware of the rules for transport that each airline provides on its websites.

As the customer, it is your responsibility to check the flight details for both outbound and return journeys. You can check this easily by logging into checkmytrip.com with your last name and the booking number, which is located on your booking confirmation.

The times are local, based in the countries you are traveling to and from.

Some airlines require a travel reconfirmation 72 hours before the return flight.

Ticket changes or cancellations are generally not possible, except in certain cases. For information about changing and canceling a booking, contact the seller. Additional fees and charges may apply.

The traveler’s name on flight tickets may not be changed. Therefore, it is very important that the passengers' first and last name appear exactly as they appear in the passport. Names cannot be changed once payment has been received.

Note: tickets must be fully used. If, for some reason, the return flight or other flights on the ticket are not used, you will be counted as a "no-show", and other flight bookings will be canceled, including remaining flights. No refunds apply.

Please note that the airline indicated in the booking is not always the airline that actually operates the flight. Many flights are “codeshares”, which means that it is a partner airline operating the flight.

The rules vary by airline but generally airlines do not allow women who are pregnant beyond 28 weeks to fly. When in doubt, contact the respective airline.

The ages of all children must be the same as indicated at the last flight.   When making a booking for a child, please specify the children's age (year, month and day).

Special requests, meals or disability assistance must be noted to the seller at the time of booking and cannot be guaranteed.

Bookings for minors under the age of 18 flying alone cannot be handled without directly referring to the airline.

FLIGHT TIMES/TIME CHANGES

Nordic Travel is not responsible for false information from the airline regarding any layovers or missed flights due to schedule changes.

If there is a schedule change, notification is normally given by e-mail. Please be sure to check all times for the both outbound and return flights, via checkmytrip.com.

If a schedule change results in a late arrival at the destination, the customer is responsible for contacting any hotel or car rental firm on this matter. If there is a separately booked connecting flight, Nordic Travel is not responsible for any missed connections.

Nordic Travel is not responsible for the time changes or canceled flights.  If the customer incurs loss, claims can be directed to the airline. A schedule change is ineligible for discounts, travel reimbursements, damages or other compensation from Nordic Travel.

If the airline cancels a flight without offering any alternative, Nordic Travel will refund the full amount. However, if an airline cancels a flight and offers a choice between alternative flights or cancellation, Nordic Travel shall follow the airline's policies with regard to cancellation charges.  An administrative fee is charged on top of the airline's fee for cancellations.

BAGGAGE

For precise information about baggage on your trip, please refer to the airlines' own rules and regulations, which are available on each airline's website.  The flight ticket provides information on the maximum weight for checked baggage.  Each airline has differing rules for maximum size and weight for hand baggage (the most common rule is a maximum of 5 kg and no larger than what can be placed under the seat in front of you).

Many low-cost airlines charge extra for baggage.

Remember not to put valuables in checked baggage, as compensation for checked baggage is low. Nordic Travel recommends having full coverage travel insurance that covers unforeseen events and expenditures.

As a rule, airlines charge an extra fee for special baggage.  Special baggage should be arranged in advance of the flight.

BOOKING A RENTAL CAR

Nordic Travel always strives to ensure that the rental car supplier's pictures and descriptions are correct and up to date. However, we cannot guarantee that this is always the case, as we receive this information from our suppliers. Pictures and descriptions are intended to give a "feeling" of the rental car. Please note that extra costs may be charged in conjunction with booking certain products in addition to the price of the rental car, such as additional drivers or GPS.

A valid major credit card in the driver/renter’s name must be presented to the rental counter at time of pick-up to cover any additional anticipated charges not covered by the prepayment amount. An authorization will be obtained at time of rental and only on return of the vehicle will the corresponding charges be posted to the credit card. Debit cards are NOT accepted locally. Certain restrictions may apply when picking up and dropping off at different locations or when pick up occurs after hours, including additional fees. All additional fees  will be paid locally to the rental company.”

Unlimited mileage is only included if  specified in search result.

Requests for accessories such as snow chains, car seats or other requests and are paid on the spot and cannot be guaranteed.

For details regarding changes and cancellations read more under "Changes and Cancellations".

BOOKING A FERRY

All quoted times are provisional, as are the times included in the booking confirmation. It is the buyer and the passenger's responsibility to be aware of the rules for transport, as provided on the ferry operators’ websites.

As the customer, you are responsible for checking the ferry details for both outbound and return journeys. This can be done by contacting the ferry operator.

The times are local, based in the countries you are traveling to and from.

If there is a schedule change, notification is normally given by email.

If a schedule change results in a late arrival at the destination, the customer is responsible for contacting any hotel or car rental firm on this matter. If there is a separately booked connection, Nordic Travel is not responsible for any missed connections.

Ticket changes or cancellations are generally not possible, except in certain cases. The seller should be contacted in the event of changes or cancellations.  Additional fees and charges may apply when changing or canceling ferry tickets.

The total order value will be agreed either for the entire order, or by summing an agreed price per participant according to the number of travellers per day, with the price of services calculated separately.

ORDERING

Orders may be made orally or in writing. For example, the organizer shall confirm receipt of an order in writing via email and refer it to the customer. In the confirmation, the price will be specified according to what is ordered, number of participants, meals and any other special requests.

CANCELLATION

The organizer shall confirm receipt of an order in writing via email and refer it to the customer.

Accommodation

  • In cancellations earlier than four weeks before the date of arrival, the total amount of the booking will be repaid, excluding any invoice charges and booking fees.

Transport, events and activities

Changes and cancellations are not possible.

Liability on repayment for cancellations is adjusted according to the hotel’s ability to resell the booking to another customer and considering the hotel’s costs.

PAYMENT

Group bookings may be paid by credit card or invoiced. Payments by invoice for group bookings must be received on Nordic Travel’s accounts within 10 days after the booking confirmation. This data is available in the purchaser's confirmation document and the accompanying invoice. A service charge is applied to the invoice. If payment is made by credit or debit card, the payment must be made at the time of booking.

PACKAGE TOUR - TRAVEL GUARANTEE

IMPORTANT THINGS TO KNOW ABOUT THE TRAVEL GUARANTEE

The Travel Guarantee is a financial protection for customers when a trip is canceled or interrupted. This allows the customer to apply for reimbursement. The Travel Guarantee Act applies to the passenger when travel adheres to the categories below.

Package tour
A package tour is an event that consists of transport and accommodation or any of these services combined with a tourist service which does not form a significant portion of the event and is not directly linked to transport or accommodation, such as car rentals, theater tickets or admission to sporting events. A package tour must be longer than 24 hours or include accommodation. Package tours are sold at all-inclusive prices or split prices which are linked to each other. A Travel Guarantee shall be provided for all package tours, regardless of whether they are sold to private individuals or companies.

Semi-package tour
The Travel Guarantee covers all who purchase a package tour, i.e. travel consisting of separate transport and accommodation services together that show a substantial resemblance to a package tour. The combination should bear a significant resemblance to a stand-alone packaged entity.

Further information
Claims for reimbursement through the Travel Guarantee must be received no later than three months after the trip was canceled, suspended or terminated by other means.
